Groundwork is a private internal business-operations platform built and operated by J and F Lawn and Snow Service, LLC. It is not a consumer product and is not offered for sale or public signup. We use Your information to provide and improve the Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.
Interpretation and Definitions
Interpretation
The words whose initial letters are capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.
Definitions
For the purposes of this Privacy Policy:
- Company(referred to as either "the Company", "We", "Us" or "Our" in this Privacy Policy) refers to J and F Lawn and Snow Service, LLC, 8650 Byron Center Ave SW, MI 49315.
- Service refers to Groundwork, accessible from app.teamjandf.com.
- Employee means an individual authorized by the Company to sign in to the Service by name and personal password to perform work for the Company.
- Customer means a client of the Company who is given access to the customer portal to view their own account data.
- You means the Employee or Customer accessing or using the Service, or a company, or any other legal entity on behalf of which such individual is accessing or using the Service, as applicable.
- Personal Data is any information that relates to an identified or identifiable individual.
- Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself.
- Service Provider means any natural or legal person who processes data on behalf of the Company. It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, or to assist the Company in analyzing how the Service is used.
What Information We Collect
Employee Data
For Employees, We collect and process: full name, work email, phone number, hashed password, role and permissions, wage and pay-structure data, timesheets and clock in/out records, GPS location captured during clock-in and route navigation, job photos, training and certification records, time-off requests, and internal performance/goal records (such as EOS scorecards, rocks, and accountability check-ins).
Customer Data
For Customers, We collect and process: contact name, business name, service and billing addresses, email, phone number, jobsite details, property measurements and site maps, estimates, invoices, payments, and service history.
Information Collected Automatically
We also collect cookies (session and functionality cookies — see Our Cookies Policy), browser and device information, and web-push notification tokens for users who enable OS-level notifications.
How We Use Your Information
We use the information We collect to:
- Operate and maintain the Service as an internal business-operations platform;
- Schedule and manage jobs, crews, routes, and time-off;
- Process payroll, timesheets, and job costing;
- Prepare and send estimates, designs, invoices, and payment records;
- Communicate with You about Your account, service, or jobsite;
- Maintain the security of the Service, including authenticating users and preventing unauthorized access; and
- Meet our legal, tax, and employment obligations.
We do not sell Personal Data and We do not use it for advertising or behavioral targeting.
How We Share Your Information
We share information with the Service Providers below only as needed to operate the Service, and with government authorities where legally required. Each Service Provider processes only the information necessary for its purpose:
- Supabase — the database that stores all Groundwork records, storage and delivery of uploaded files (including job and property photos, signatures, and documents), and authentication for the customer portal.
- Vercel — hosting and delivery of the Service.
- Brevo — delivery of outbound transactional email (notifications, password reset links, invoices, and estimates).
- Intuit QuickBooks Online — accounting sync (customers, invoices, payments, and payroll time activities); see Intuit QuickBooks Connection below.
- OpenRouter (which routes requests to model providers, including Anthropic) — powers in-app AI assistant features.
- Copernicus Data Space / Sentinel Hub — satellite vegetation and snow imagery at the property level; this is not personal information.
- LocationIQ, the U.S. Census Geocoder, and OpenStreetMap Nominatim — convert addresses into map coordinates.
- The U.S. National Weather Service — weather data used for service planning.
- OSRM / VROOM — route optimization and turn-by-turn navigation.
- Business-data enrichment providers (Hunter, PeopleDataLabs, Serper, Verifalia, SimilarWeb, OpenPageRank, Google PageSpeed, and Cloudflare Radar) — used only for B2B prospecting on business contact information; these are never used with consumer or customer data.
- Push notification services (Apple, Google, and Mozilla) — deliver web push notifications to devices that opt in.
Intuit QuickBooks Connection
Groundwork can connect to Intuit QuickBooks Online to sync customers, invoices, payments, and payroll time activities to Your company's QuickBooks account. This connection is only active when a Company administrator connects a QuickBooks company; access tokens are stored securely and the connection can be disconnected at any time. Once data is synced into QuickBooks, its handling there is governed by Intuit's own terms of service and privacy policy, not this Privacy Policy.
Where We Process Your Information
The Company operates in the United States, and Your information is stored and processed in the United States by Us and by the Service Providers listed above.
Data Retention
We keep records for as long as needed to run the business and to meet Our tax, employment, and legal obligations, after which they are deleted or anonymized.
Security
We protect Your information using:
- HTTPS encryption of data in transit;
- Hashed passwords;
- Role-based access control;
- Row-level database security; and
- A periodic emailed second authentication factor for sensitive roles.
No method of transmission or storage is completely secure, and We cannot guarantee absolute security.
Your Choices and Access Requests
If You would like to access, correct, or request deletion of Your Personal Data, You may email Us at info@jandflawnandsnowservice.com. Please note that some employment and financial records must legally be retained even after such a request.
Employees should understand that the Service records work-related activity — including time, location during clock-in and navigation, and job photos — for payroll, safety, and job-costing purposes.
Children's Privacy
The Service is not directed to anyone under the age of 16, and We do not knowingly collect Personal Data from anyone under the age of 16.
